Customizing Document Fields and Variables

Last updated September 16, 2024

LegalMation empowers you to create highly personalized legal documents by tailoring them to the specific needs of your clients and situations. This guide explains how to work with document fields and variables to achieve custom document generation.

Understanding Fields and Variables

  • Fields: These are placeholders within a document that are designed to be replaced with specific information during generation. For example, "[Client Name]" or "[Contract Date]".
  • Variables: More dynamic placeholders that enable you to insert information from external sources or calculated values. For instance, "[Total Amount]" could be calculated based on other fields in the document or data from a connected CRM system.

Customizing Fields

  • Edit Existing Fields: When working within a template, you can directly edit existing fields by:
  • Typing in Values: Replace the placeholder text with the relevant information for your specific case.
  • Using Drop-down Menus: Some fields offer pre-defined options that you can select from.
  • Adding New Fields: LegalMation allows you to create new custom fields as needed:
  • Click "Insert Field" or a similar button: Access a field library to choose the type of field (text, date, dropdown, etc.)
  • Provide a Field Name: Clearly label the new field so it's easy to identify.
  • Define Format and Options: Configure the format and options for the field depending on its purpose.

Working with Variables

  • Using Pre-built Variables: LegalMation offers a range of pre-defined variables, like date and time calculations, to simplify complex logic:
  • Select a Variable: Choose the appropriate pre-built variable from the variable library.
  • Configure Parameters: Provide any necessary parameters to adjust the variable's behavior.
  • Creating Custom Variables:
  • Access the Variable Library: Look for a "Variables" section in your document editor.
  • Define Variable Name: Give your variable a descriptive name for easy understanding.
  • Enter Formula: Insert a formula or expression that defines how the variable should be calculated (e.g., "Field1 + Field2").

Previewing and Testing

  • Preview Changes: As you customize fields and variables, LegalMation provides preview options so you can immediately see the impact on your document.
  • Test Your Work: Generate sample documents with different field values and variable inputs to ensure your customization works as expected.

Remember:

  • Clear and Concise: Use clear and descriptive field and variable names for better organization and understanding.
  • Variable Validation: Ensure the values you input into variables and fields are valid and accurate before finalizing the document.
  • Review Thoroughly: Carefully review your personalized document before sharing or finalizing to catch any errors or inconsistencies.
