Inviting Collaborators & Setting Permissions

Last updated August 9, 2024

Craft Docs makes it easy to collaborate on documents with others, whether it's a team project, a shared research paper, or simply getting feedback from colleagues. This guide will walk you through the steps of inviting collaborators and setting the appropriate permissions for them.

Inviting Collaborators to a Document

  • Open the Document: Go to the document you want to share with others.
  • Click the "Share" Button: Look for a "Share" or "Invite" button (often located in the top right corner of the document).
  • Enter Email Addresses:
  • Type in the email addresses of the people you want to invite.
  • Craft Docs might allow you to control if invites are sent immediately or through a notification.
  • Select Permission Levels:
  • Choose the type of access you want to give each collaborator:
  • Edit: Collaborators can edit and make changes to the document.
  • Comment: Collaborators can add comments to the document but cannot make edits.
  • View: Collaborators can only view the document and cannot make any changes.

Managing Collaborator Permissions

  • View Current Collaborators:
  • Go to the document's "Share" or "Collaborators" settings.
  • You'll see a list of current collaborators with their permission levels.
  • Change a Collaborator's Permission:
  • Select the collaborator you want to edit.
  • Change their permission level to "Edit," "Comment," or "View."
  • Remove a Collaborator:
  • Select a collaborator and click "Remove" or a similar option to remove them from the document.

Additional Collaboration Features

  • Real-time Collaboration:
  • If Craft Docs supports real-time collaboration, you and your collaborators can work on the document simultaneously and see each other's changes live.
  • Comment Threads:
  • Leave comments on specific sections of your document and engage in discussions with collaborators.
  • Version History:
  • Review previous versions of the document, track changes made by your collaborators, and revert to specific versions if needed.

Best Practices

  • Clear Communication: Clearly communicate the purpose of collaboration.
  • Permission Levels: Set appropriate permission levels for each collaborator based on their role and responsibilities.
  • Version Control: Use version history to track changes and revert to previous versions if needed.
  • Regular Updates: Keep collaborators informed about progress and any changes to the document.

By effectively managing collaborators and permissions, you can optimize your workflow, encourage collaboration, and create high-quality documents together. Craft Docs makes this process intuitive and streamlined.
