Sharing Documents with Team Members

LegalMation makes collaboration seamless, allowing you to share documents with colleagues, clients, and partners for review, feedback, and approvals. This guide explains different methods for sharing documents within the platform:

Sharing Within a Project

  • Project Membership: If you're working on a project with a team, all members automatically have access to the shared project workspace.
  • Document Access: Documents uploaded or created within a project are visible to all project members by default.
  • Managing Permissions: You can adjust document permissions within a project:
  • Viewer: Can view the document but cannot edit.
  • Editor: Can view and edit the document.
  • Owner: Has full control over the document, including sharing, editing, and deleting permissions.

Sharing Outside a Project

  • Direct Sharing: You can share a specific document with individuals outside of a project:
  • Click "Share" or "Invite" Button: Find this button within the document view.
  • Enter Email Addresses: Add the email addresses of the people you want to share with.
  • Choose Permission Level: Select whether you want the recipient to be a Viewer, Editor, or have full control.
  • Creating External Links: Generate a link to your document that can be shared with anyone, regardless of whether they have a LegalMation account.
  • Click "Get Link" or a Similar Button: This option will generate a unique link to your document.
  • Set Link Options: Choose whether the link provides View access, Edit access, or allows recipients to Download the document.

Providing Review Access

  • Comment and Feedback: LegalMation's built-in commenting and feedback tools make it easy to collaborate on documents.
  • Highlight and Comment: Click to select a specific section of a document and leave a comment for others to see.
  • Reply to Comments: Use the comment thread to engage in discussion and resolve feedback.
  • Tracking Changes: LegalMation can track changes made to a document.
  • View Change History: Access a log of all changes made to a document, helping you identify who made revisions and what was modified.

Ensuring Secure Sharing

  • Password Protection: If necessary, you can password-protect your documents to limit access.
  • Access Control: LegalMation's security features ensure that only authorized individuals can access your documents.

Leveraging Collaboration Features

  • Notifications: Receive notifications when team members view, comment on, or make changes to documents you've shared.
  • Version Control: Maintain a history of document revisions to ensure accountability and track changes.

Streamline Team Communication

  • Reduce Email Back-and-Forth: Minimize email chains by using LegalMation's direct sharing and commenting features.
  • Centralized Workspace: Store and manage all project-related documents within your LegalMation workspace for easy access and collaboration.
