Onboarding New Suppliers in Proactis

Last updated September 24, 2024

Expanding your supplier network requires a smooth onboarding process. Proactis simplifies the task of adding new suppliers to your platform, ensuring they are properly integrated and ready to engage in your procurement activities.

Steps for Onboarding New Suppliers:

  • Supplier Invitation: Navigate to the supplier management section within Proactis. Find the option to invite new suppliers and enter their details. This often includes:
  • Supplier Name: Provide the full legal name of the supplier.
  • Contact Information: Include their email address and phone number.
  • Supplier Type: Specify the type of supplier, e.g., goods, services, or other.
  • Pre-Qualifying Questions: You may need to answer some basic questions to help determine if the supplier is a good fit.
  • Supplier Profile Creation: The supplier will receive an invitation to create a profile within Proactis. They'll be guided through a process that includes:
  • Company Information: Providing details about their business, including address, contact information, and relevant certifications.
  • Product or Service Catalog: Listing the goods or services they offer.
  • Financial Information: If required, entering details about their payment terms, banking details, or other financial information.
  • Documentation: Submitting supporting documentation, such as licenses, certifications, or insurance policies, as required by your organization's procurement policies.
  • Approval and Onboarding: Once the supplier has submitted their profile, it may be subject to your organization's internal review process. Once approved, the supplier becomes active within Proactis and can start participating in tenders or responding to purchase requests.

Managing Supplier Information:

  • Supplier Directory: Proactis provides a centralized supplier directory where you can view details about each supplier, including contact information, performance history, and recent activity.
  • Communication: Use Proactis' communication features to exchange messages, documents, or updates with suppliers.
  • Performance Tracking: Regularly assess supplier performance based on factors like delivery times, quality, adherence to terms, and communication. Proactis often has features to track and report on these metrics.

By effectively onboarding new suppliers, you improve your organization's access to a wider range of goods and services while ensuring compliance and quality standards are consistently met.
