Exporting and Sharing Reports

SafetyCulture provides convenient ways to export your generated reports into different formats and share them with stakeholders. This allows you to communicate key findings, collaborate on safety improvements, and ensure transparency across your organization.

Exporting Reports

  • Access the Report: Navigate to the "Data" section of your SafetyCulture dashboard and locate the report you want to export.
  • Select the 'Export' Option: Click on the "Export" button or icon associated with the report.
  • Choose the Export Format: Select the desired format for your exported report. Common options include:
  • PDF: A printable and shareable document format that retains formatting, images, and charts.
  • CSV: A comma-separated values format that is compatible with spreadsheets and data analysis tools.
  • Excel: A spreadsheet format that allows you to further analyze and manipulate data.
  • Download the Report: Once you choose the export format, click on the "Download" button to save the report to your device.

Sharing Reports

  • Use the Share Button: Within the report interface, locate the "Share" button or icon.
  • Generate a Shareable Link: Click on the share button to generate a unique link that you can share with others.
  • Customize Sharing Options: Depending on your settings, you may be able to customize sharing options, such as:
  • Permission Levels: Set permissions for recipients to view, edit, or download the report.
  • Password Protection: Protect your report with a password to restrict access.
  • Expiration Date: Set an expiration date for the shared link to ensure timely access.
  • Share the Link: Copy the generated shareable link and paste it into an email, instant messaging app, or other communication channel.

Additional Sharing Methods

  • Email Reports: Some platforms allow you to directly email reports from the platform interface.
  • Cloud Storage: Share reports by uploading them to cloud storage services like Google Drive, Dropbox, or OneDrive.
  • Team Collaboration Tools: Share reports within team collaboration platforms like Slack or Microsoft Teams.

Tips for Sharing Reports

  • Clear Subject Line: When emailing reports, use a clear and informative subject line that summarizes the report's content.
  • Contextual Introduction: Provide a brief introduction when sharing reports to contextualize the findings and highlight key takeaways.
  • Encourage Feedback: Encourage recipients to provide feedback or ask questions to facilitate dialogue and collaboration.
  • Archive for Reference: Save a copy of all exported and shared reports for future reference and to track progress over time.
