Utilizing Workflows and Automation

Last updated August 26, 2024

Workflows and automation are powerful tools in Nexus Reform that help streamline your project processes, reduce manual effort, and ensure tasks are completed efficiently.

Understanding Workflows

  • Workflow Definition: A workflow defines a sequence of tasks that need to be completed in a specific order.
  • Task Dependencies: Workflows define dependencies between tasks, meaning that certain tasks must be completed before others can be started.
  • Automation: Workflows can be used to automate certain actions, such as automatically assigning tasks, sending notifications, or updating task statuses.

Setting up Workflows

  • Navigate to the "Workflows" Section: Within your project, select the "Workflows" tab to access the workflow management feature.
  • Create a New Workflow: Click the "Create Workflow" button.
  • Give Your Workflow a Name: Choose a clear and descriptive name for your workflow (e.g., "Design Review Workflow").
  • Add Tasks: Select the tasks that will be part of this workflow.
  • Define Task Order: Arrange the tasks in the desired sequence.
  • Set Dependencies: Indicate which tasks must be completed before others can start (e.g., Task A must be completed before Task B can begin).
  • Add Automation (Optional): Configure automation actions for your workflow, such as:
  • Auto-assign tasks: Automatically assign tasks to specific team members when they become available.
  • Send notifications: Send automated notifications to team members when a task is completed or when a task becomes overdue.
  • Update task statuses: Automatically update the status of tasks when specific actions occur (e.g., when a task is completed).
  • Save Your Workflow: Click "Save Workflow" to finalize your workflow setup.

Using Workflows in Your Project

  • Apply Workflows: Choose an appropriate workflow for your project and apply it to your tasks.
  • Monitor Workflow Progress: Tracks the progress of your workflows through the "Workflows" tab, which provides an overview of task completion status.
  • Update and Adjust Workflows: As your project evolves, you can modify existing workflows to reflect changes or add new workflows as needed.

Benefits of Utilizing Workflows

  • Increased Efficiency: Workflows streamline project processes, reduce manual effort, and improve task completion times.
  • Enhanced Collaboration: Workflows ensure that tasks are completed in a logical order and that team members are aware of their dependencies.
  • Reduced Errors: Automation within workflows minimizes the risk of human error, ensuring that tasks are completed accurately.
  • Improved Communication: Automated notifications keep team members informed of task progress and changes in workflow status.

Work flows and automation are powerful tools within Nexus Reform that can significantly improve the efficiency, organization, and communication within your projects.
